Telephone Changes at NIC

General Information Scope, Cost and Source of Funds - The scope of this project is college wide. Virtually every phone on at the college will be affected along with every facet of the IT Department. This project is being funded by the Department of Public Works (DPW) who will contribute $666,400 to NIC for this conversion. Project team at NIC and INX - NIC's Information Technology department is working closely with Inter Networking Experts (INX) who will act as the external consultant and vendor supplier. Hardware is being purchased from Cisco Systems on a state contract. Benefits (immediate & future) - All converted phones will be display models. This new system will allow for on or off campus calls to be displayed on the phone by either a phone number or a name. Voice will be delivered over the data network. Currently phone and computer lines are separate. With this conversion, both phones and computers will run on the same network. FAQ's Am I getting a new phone? You are getting a new telephone this semester except for analog (gray or tan Nortels) telephone users. This includes OPX users and others required to stay analog including fax machines and modems. Will my phone work the same as the one I have now? Your telephone will operate similarly to what you are accustomed to now. There will be slight differences in voicemail operation. What changes should I expect? You should expect phone services to be interrupted briefly when the old system switches to the new system. There will be a 4 hour interruption while switches are changed during closet builds. You will also experience two 5 minute interruptions while phone line connections are checked and your new phone is installed. Once the phone system is fully converted over to the new technology we should see the same overall system reliability; however, during the transition there may be additional periods of temporary service interruptions as the system is analyzed and adjusted for peak performance. Will training be made available? You should also expect that training on the new phone system will be available. You may need to define the changes you need to make after the new system in installed. General Timeline And Training Dates February 14th - closet builds start and will continue through March 15th. March 1 - System installation will be complete and key users will have new phones in test mode. March 12- March 16 - New phones will be placed on all desks at all locations alongside existing phones (see User Deployment Schedule below). March 15 - select group of key users will be trained. March 23 - Entire telephone system is ready to test! April 2 - April 6 (Spring Break) - Additional training will be available for employees. April 5 - Blue light emergency phones, elevators, and satellite centers will be activated on the new phone system. April 12 - Remaining phones in Coeur d'Alene and Post Falls will be activated. This schedule means that from March 15 - April 11, employees will have a new phone and their existing phone in place to apply training. Training for key phone users will be held on March 14th. Those key users will in turn train employees in their departments from March 15th - April 1st, 2007. The key users have been identified as the following people: Meyer Health Science Building River Avenue Building Headwaters Complex Lee Kildow Hall Student Union Building Boswell Hall Hedlund Building Sherman Building Molstead Building Post Building Siebert Building Ponderay Center Silver Valley Center Debbie Hanna - Workforce Training & Community Education The following documents will help users know when they will received a new IP phone and will also provide an telephone user guide. (These documents are only accessible from inside the NIC network.) User Deployment Schedule, click here and Cisco 7941/7961 IP phone user guide, click here The telephone system is on track to be built and fully available to test by Friday, March 23rd. This means that most users will be able to call each other and test on the new system after that date. Early reports are that the phones are easy to use and sound great!
